Initial Respondce to a Wedding Inquiry

{Bride calls/emails/uses your request form via website}

          Hi (bride’s name)!

        Congratulations on your engagement!  (Name of venue where she is getting married) is such a lovely venue and we enjoy working with them—great choice! 

       We are currently available for your wedding on (fill in date) and would love to have the opportunity to meet with you and earn your business!  First, in order to help you best, you must have a few things                    chosen:  (fill in your qualifying-requirements; do they need to have their gown chosen?  Colors selected?  An overall theme/vision for the wedding?  Things like these).

       If you have all these things chosen, here are the next available dates/times we can meet: (list dates/times for next week or two, depending on your availability)

       Thank you!  Looking forward to meeting you and learning all about your big day! 

**You want to be warm and welcoming and you also want to pre-qualify to make sure she is ready to meet so you don’t waste her time or yours.  You can even take this a step further and have her complete a questionnaire, a step that is often done before the consultation but after the initial request. A questionnaire will help you prepare to meet with the bride and it will qualify her further.

SECRET SAUCE:  Respond within one hour of you receiving the inquiry for best results.

Responding to a lead (what to say in each stage)

{First Follow-Up}

  • What to say on the voicemail:

Hi (bride’s name)!  This is (your name) at (name of your business)!  Just following up on your request for a wedding consultation.  I sent you an email on (fill in date) and have not heard back from you.  I’ll shoot you another email with updated dates and times for your complimentary consultation.  Thank you! 

  • What to say if you get her on the phone:

H i(bride’s name)!  This is (your name) at (name of your business)!  Just following up on your request for a wedding consultation.  I sent you an email on (fill in date) and have not heard back from you.  Did you receive the voicemail?  Well since I have you now, let’s put our schedules together as our consultation times are filling up fast!  Are you available … (go on to mention dates and times)

  • Template for email:

Hi (bride’s name)!  This is (your name)  at (name of your business)!  Just following up on your request for a wedding consultation.  I sent you an email on (fill in date) and have not heard back from you.  Here is an updated list of dates and times but please call or email us back today as these consultation times are going fast!   Thank you!

{Second Follow-Up}

{Third Follow-Up}

  • Template for email:

Hi (bride’s name)!  This is (your name) from (name of your business)!  I’ve made a few attempts to reach you by phone and email regarding your request for a wedding consultation but have been unsuccessful.  We have a limited number of consultation openings left; here’s a revised list of dates and times.  Hope to hear from you soon! 

  • Template for phone (message or to her):

Say the same as in the template for email but list off the dates–or–say you have emailed her the dates.

{Fourth Follow-Up}

  • Template for email:

 Hi (bride’s name),

 Are you still interested in (your product/service)?

**This single-line email is critical.  Do not alter it.  Do not add to it.  You are chasing an MIA bridal lead at this point and all you really need to know is if she is still interested and life has just happened or if she has found a pro already.  This single-line email evokes a response in one way or another–if she is blowing you off, she won’t respond.  If she really still wants to meet, but life happened, she will email you back and let you know.

{Final Follow-Up}

  • Template for email:

Hi (bride’s name)!  We have made several attempts to connect with you regarding your request for a wedding consultation but have been unsuccessful.  At this point we are going to discard of your request file unless we hear from you by (fill in date three days from now)

Thank you,

SECRET SAUCE: If you are not following-up five times (so six total contacts including the initial response), you are cutting yourself short and losing business!  Brides today are busy and some get so excited that they contact a pro too early as they get caught up in all the glamour of the wedding world.  I suggest sending a follow-up message every three to five days but you can always extend it out longer, too based on your knowledge of the situation (bride is over a year out, make a note to do the first and second follow-ups right away; if no response do the third follow-up in a month…or maybe after talking the two of you realize it’s too early and you schedule to call her back in three months, etc.)

MORE SECRET SAUCE:  The phone is not a prehistoric device that no one uses, so use it!!  I have found on the initial response that calling first, and mentioning that you will email the next available dates and times, then immediately emailing nets a quicker response from the bride (she sees she has a voicemail, listens…she is at work and can’t call you back so she jumps on her email and responds).  And to take it a step further…has anyone tried texting yet?  We haven’t with leads, but have for brides who have already hired us.
